Privacy policy
How we collect, use and look after your personal information.
Last updated: 21 October 2026
Preamble
This website is run by Your CRM Coach ("we", "us", "our"). We are based in Victoria, Australia.
If you have a question about this policy or your personal information, email us at hello@yourcrmcoach.com.
Our commitment
As a small business, we may not be legally required to comply with the Privacy Act 1988 (Cth). We choose to handle personal information in line with the Australian Privacy Principles (APPs) in that Act anyway, because our clients trust us with sensitive information about their projects and their people.
What we collect
When you use our enquiry form
- Your name, email address, phone number (if you give it) and the project summary you write.
- The page you sent the enquiry from.
- Your IP address and browser details (user agent), which are included in the email we receive so we can spot spam and abuse.
When you browse this website
- Analytics. We use Umami to count page views and understand which pages are useful. Umami does not use cookies and does not identify individual visitors. It records things like the page visited, the referring website, browser type, device type and country.
- Fonts. Our pages load fonts from Google Fonts, so your browser connects to Google's servers, which receive your IP address.
- Security. Our website is hosted on Cloudflare, which processes your IP address and other technical information to deliver pages and protect the site from attacks. If our spam check (Cloudflare Turnstile) is active on the enquiry form, it collects technical signals from your browser to tell people from bots.
When you work with us
If you or your organisation become a client, we may also collect business contact details for you and your colleagues, billing details, and information about your project. Project information can include the names, roles and opinions of people involved in the project. With participants' knowledge, we may record and transcribe project meetings.
We do not ask for sensitive information, such as health information or information about your racial or ethnic origin, political opinions or religious beliefs. Please don't include it in an enquiry.
How we collect it
We collect personal information directly from you, through the enquiry form, email, phone calls and meetings. We may also receive it from your organisation, or from other people involved in a project we're working on with you.
You can browse this website without telling us who you are. To contact us or work with us, we need at least your name and email address. Without them, we can't respond to your enquiry or start a commercial relationship with you.
How we use it
We use personal information to:
- reply to your enquiry and talk with you about your project
- provide our services, and manage our relationship with you or your organisation
- send invoices and keep financial records
- run, secure and improve this website
- meet our legal obligations.
We don't sell personal information, and we don't add enquiries to marketing lists.
Cookies and browser storage
We, and the providers who run this website for us, may use cookies to keep the site secure (for example, Cloudflare uses them to protect against attacks and spam) and to make it work properly. We don't use cookies to track you across websites, build a profile of you, or show you advertising, and our website analytics don't use cookies at all.
While you fill in the enquiry form, a copy of what you've typed is kept in your browser's session storage, so it isn't lost if sending fails. That copy stays on your device, is only sent to us when you submit the form, and is deleted when you close the browser tab.
Who we share it with
We use trusted service providers to run our business. They only receive the information they need to provide their service to us:
| Provider | What they do for us |
|---|---|
| Cloudflare | Website hosting, security and spam protection |
| Resend | Delivers enquiry form submissions to our inbox |
| Fastmail | Hosts our email |
| Umami | Website analytics, without cookies or identifying visitors |
| Google Fonts | Supplies the fonts used on this website |
| Our CRM provider | Stores contact details and notes about enquiries and clients |
| Our accounting software provider | Invoicing and financial records |
| AI and productivity tools | Help us transcribe and summarise meetings, review notes and draft documents for client projects. We don't enter private contact details, such as personal phone numbers or home addresses, into these tools, and where the provider allows it, we set them up so your information isn't used to train their models. |
We may also share personal information with our professional advisers (such as accountants and lawyers), or where the law requires or allows us to.
Overseas disclosure
Some of our service providers store or process information outside Australia, including in the United States and the European Union. Where we use overseas providers, we choose reputable services and take reasonable steps to make sure they protect personal information in a way that is consistent with the APPs.
How we protect it
We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access. These include using reputable providers, multi-factor authentication on our accounts, and limiting access to people who need it.
We keep personal information only for as long as we need it, or as long as the law requires. For example, we keep financial records for at least five years to meet tax obligations. When we no longer need information, we take reasonable steps to delete or de-identify it.
Accessing and correcting your information
You can ask for a copy of the personal information we hold about you, or ask us to correct it. Email hello@yourcrmcoach.com and we'll respond within 30 days. In some limited cases the law allows us to refuse access, and if so we'll explain why.
Complaints
If you think we've mishandled your personal information, please email us first at hello@yourcrmcoach.com. We'll acknowledge your complaint within 5 business days and aim to resolve it within 30 days.
If you're not satisfied with our response, you may be able to contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
